Responsible for the daily operation of the Circulation Services Department. Hire, train, supervise, schedule, and mentor 4 to 6 student assistants each semester.
1. Specialized Circulation Departmental Operations
Perform billing process weekly or as needed. Separate alumni and community patron invoices from students, faculty, and staff. Verify billing amounts in Voyager Circulation records. Process batches for billing in the Universitys Datatel system for on campus students. Update Voyager records to reflect billing occurrences.
Update student assistant documents and manuals in Microsoft Word when policies or procedures change. Review policies periodically with other staff to make necessary changes.
Create student assistant signup sheets and break schedules to ensure adequate student assistant coverage.
2. Shared Circulation Departmental Operations
As a front line customer representative, provide general information on library services and answer questions from library users. Instruct patrons in the use of library equipment and provide information on the use of library facilities and services. Answer patron inquiries regarding policies such as loan periods, fines, recalls, claims, holds, available software, and renewing materials online.
Ensure that library materials are checked in and out correctly using the Voyager Circulation module.
Continually monitor the entire collection to ensure that materials are in proper shelf order.
Collect fines from alumni and community patrons individually. Properly process and record transactions for future reference.
Process Lost Items. Give proper billing credit if item has been returned within six months of original due date and prepare for return to shelves.
Meet weekly with Circulation Staff to discuss departmental and library wide issues. Record minutes from meetings and make available to library staff and Circulation student assistants. Communicate with members of other library departments, provide guidance or assistance as needed.
Recommend revisions and review changes made to the Circulation Policies and Procedures Manual.
Monitor and troubleshoot problems with microform machines, public copiers and printers. Explain and demonstrate correct use of the machines to the patrons. Notify library secretary of needed repairs and fill out appropriate paperwork.
Responsible for opening and, or closing procedures for the entire library building, monitor building security at opening and closing times.
Respond to alarms that are set off and reset them as needed. Communicate with the Safety department concerning safety issues and emergencies.
Maintain accuracy of patron records in the Voyager Circulation Module. Enter new patrons into the Circulation Module and update records as necessary. Update graduating patron records each semester as lists are provided. Ensure patron confidentiality for all library transactions as mandated by Florida State Law and according to the Code of Ethics of the American Library Association.
Assist in the workflow of the department. Coordinates daily work and special projects with department staff as needed to ensure timely delivery services to library patrons. Participates in the planning process for new and improved services.
Shared Student Assistant Supervision
Interview and hire Student Assistants using a detailed interview process and conduct comprehensive training with a variety of checklists and exercises. Develop and revise existing or additional training tools as appropriate. Supervise daily activities of Student Assistants by giving assignments and instructions. Follow up training with periodic checks on shelving and other routine activities. Discuss needed improvements in job performance as necessary. Adhere to disciplinary policy as needed. Mentor and train motivated students to become Certified Student Assistants with additional responsibilities. Evaluate Student Assistants every semester utilizing documentation tools pertaining to attendance, reliability, productivity, initiative, responsiveness, and attitude. Responsible for completing all paperwork on evaluations, hiring, training, terminations, and time sheets.
1.Assist with ensuring smooth operation of Media services as needed. Provide guidance and supervision of Media student assistants in absence of Media Services Technician. Monitor Media bookings.
2.Participate as an official Building Liaison between the Library and the Safety Department. Coordinate with other Circulation staff in improving Emergency Plan. Give periodic, short presentations at library staff safety meetings. Participate in Building Liaison meetings, training, and supplemental activities as scheduling permits. In an emergency, assist staff and patrons in finding shelter within the library or coordinate the orderly and timely evacuation of the building. Communicate emergency information accurately and calmly to staff and patrons and to the Safety Department. Participate in all emergency safety drills and update emergency training, CPR, AED first aid as needed and as scheduling permits.
3.Participate in the planning and evaluation of services. Coordinate activities within the Circulation Department and the library to ensure consistent service. Initiate special projects and perform other duties as required.
