University of Maryland in Baltimore is currently seeking an Office Manager for School of Pharmacy, Department of Pharmaceutical Sciences. The selected candidate is responsible for managing the day-to-day administrative functions of School’s new online Masters in Regulatory Science program. Develops and oversees program specific procedures for operations, budgeting, procurement and supply. Provides complex administrate and operational support to the graduate program director and course managers. Partners with a number of units across campus and within the School including School of Pharmacy Office of Academic Affairs, Computer and Network Services, academic departments, and the Graduate School.

ESSENTIAL FUNCTIONS:

Manage the implementation of the distance education program; serve as the liaison between course instructors and computer and network support services to arrange for lectures to be pre-recorded, including lectures to be recorded off-site by off-site instructors.

Recruit new students; communicate with prospective students through email, phone, and web, including facilitate matriculation.

Provide a high level of administrative support for program courses including support for course managers and their course websites, including both prerecorded materials and web conferences. The individual will facilitate materials to be graded.

Support existing students; work with faculty to address student inquires (e.g. library computing, registration issues; deadlines).

Support program; facilitate program assessment.

Provides inputs for the operating budget; manage and tracks spending, reconciles budget accounts, and provides financial reports as needed.

Gathers material and interprets data to prepare recurring administrative reports.

Periodically analyzes internal processes, equipment and supplies, and implements changes to improve operations

MINIMUM QUALIFICATIONS:

Bachelor's degree in a related field

2 years' related experience

Preferred: previous experience in a higher education environment. Experience with the management and delivery of online education.

Except for qualifications established by law, additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.

Credit history review may be required.

KNOWLEDGE, SKILLS, AND ABILITIES:

Excellent communication and organizational skills

Knowledge of best practices in office systems and procedures and, where appropriate, principles of supervision.

Skill in planning work

Skill in organizing and executing multiple assignments under specific time constraints.

Hiring Range: Commensurate with education and experience
