The UCLA Office of Environment, Health & Safety (EH&S) has an outstanding career opportunity for an Office Manager.
Under the general supervision of the Chief Administrative Officer, act as Office Manager and be responsible for various projects, and provide analytical and technical support to the department. Initiate and prioritize major projects such as the Departmental Quarterly Metrics Review, database creation, technical and/or grant writing and document editing. Design, create and maintain departmental forms, documentation and executive level presentation to assure consistency in format. Gather and analyze data that will be used in response to requests for information from all levels of customers including attorneys, government agencies and campus departments. Personnel: Update and edit job descriptions; submit requisitions; process new hires; create advertising for recruitment; oversee equipment inventory; oversee A/P; establish and maintain maintenance agreements; and directly supervise Administrative Assistant III, limited and work-study support staff.
Qualifications
•Demonstrated ability to initiate and implement programmatic tasks, independently organize, prioritize, and complete work in a timely manner despite competing demands, other deadlines, and changing circumstances.
•Demonstrated analytical and organizational skills to effectively manage the multiple, large, and complex issues that arise when working with several departments, committees, Deans, Directors, Department Chairs, Administrative Officers, and their staff.
•Detailed knowledge of Microsoft Office including Word, Excel, PowerPoint, Project, Visio, and Access.
•Working knowledge of human resources management.
•Basic accounting/bookkeeping skills in order to process A/P, create purchase orders, etc.
•Bachelor's degree in a related field and four years related work experience or a combination of equivalent experience and education. Advanced Degree (Master's) preferred.
