Coordinate the many aspects of event and conference planning and execution for internal and external clients, including event definition and scope, logistics planning, scheduling and staffing. Determine client needs, conduct site visits of University facilities, discuss various venue options, and prepare proposals for prospective clients. Act as the primary liaison between the client and University service departments (e.g., Catering on the Charles, Media, Parking, Facilities Management & Planning). Manage invitation databases including creation, information verification, and response tracking. Generate site diagrams and event instructions for internal vendors. Manage print production of event invitations, programs, menu cards and place-cards. Develop working event budgets, create contracts and monitor payments. Devise staffing plans. Troubleshoot situations to ensure successful execution of events and conferences, and conduct post-event briefings with clients to address any concerns.
Requirements:
B.A./B.S., strong communication skills and attention to detail, the ability to collaborate with all levels of University personnel as both clients and service providers, and with external clients and vendors, and three to five years of relevant industry experience. Nights and weekends are required based on event calendar.
