Specific Responsibilities

Under general direction and with considerable latitude of exercise of independent judgment, serve as administrative manager for the Movement Disorders Division in Neurology.

Financial:  Monitor financial ledgers for all clinical and research accounts.  Review and approve expenses on appropriate accounts, and assist with determination salary allocations and salary reallocations.  Where Hospital accounts are involved – additional responsibilities included monitoring various reports and preparing operating budgets for clinical divisions at SMH and Highland Neurology.

Administrative – SMH, URMC:  Assist with preparation of personnel action forms and job descriptions for faculty and staff hires.  Meet regularly with Division Chiefs and Department Administrator.  Review various reports. Review clinical volume and activity reports for divisions.  In collaboration with senior staff, identify and investigate trends, significant changes, and areas of concern/opportunity. Perform other related administrative duties. 

Assist in facilities planning; in consultation with others, determine need for and recommend equipment and supplies.  Coordinate space planning and space survey activities.  Maintain UR space database on an ongoing basis.  Participate in UR Space equipment survey.  Ensure proper identification and location for all capital equipment within divisional space.

Staff Supervision, Support and Workflow:  Interview and hire new staff as appropriate.  Provide department training and orientation of new hires.  In collaboration with clinical providers, oversee all phone triage, scheduling, patient registration, prior authorizations, and prescription renewals.  Improve workflow by generating ideas, creating flowcharts/diagrams, and step-by-step instructions for processes that reflect best practices.  Responsible for completing performance evaluations and timekeeper entry.  In collaboration with Department HR Specialist, provide guidance to faculty and staff on all aspects of personnel administration.

Research and Project Administration:  Maintain liaisons with research and projection administration, federal and state agencies and others.  Oversee research compliance activities for the Division including the interface with UCAR, RSRB, and IBC.  Maintain liaisons with the principals of research administration, accounting, budget, and personnel departments.  Provide support, guidance and advice to faculty regarding research expenditure.

Participate in Department of Neurology and Medical Center activities:  Attend monthly Neurology administrator meetings, monthly clinical council meetings, routine clinical staff meetings (FEBO).  Meet regularly with Division Chief and Department Administrator.  Perform other related administrative duties.

Minimum Qualifications 

Bachelor's degree or equivalent level of education and three years relevant administrative experience; or five years of directly related administrative experience; or any equivalent combination of experience, training and/or education approved by Human Resources.  Some practice management and knowledge of accounting principles preferred.
