This job expired 1 month ago.Position Summary: As a member of the Office of University Services, the Associate Director of University Scheduling is responsible to serve as the lead administrative presence and management for the University Scheduling Office. The successful candidate for this position will possess skills enabling them to successfully functionally administer Series25 suite of products at Princeton, as well as be a skilled manager, relationship developer and ambassador of 25LIVE to the community. The Associate Director will have direct supervisory responsibility for three Scheduling Managers, who are responsible for providing scheduling and event planning services and support 20,000+ event requests annually. Within this responsibility, the Associate Director will need to ensure that client needs are met, and work to proactively resolve any potential issues with scheduling in such a wide spectrum of venues. Significant effort will be required of this position, on an ongoing basis, to develop relationships with the various space owners and space managers on campus, and to negotiate scheduling ability for what previously were exclusively scheduled spaces. The Associate Director serves as the functional administrator of Series25 products from Collegenet at Princeton and will need to be able to effectively and convincingly articulate the benefits of Resource25 and 25LIVE for space owners with participating in the University Scheduling centralized model. In addition to positioning University Scheduling as a positive influence for all campus departments, the Associate Director will need to ensure the continued high level of success in scheduling and event planning within the Frist Campus Center and Andlinger Center.
The Associate Director will be responsible to ensure that all scheduling managers are trained in Resource25 scheduling software, and that they are well versed in the intricacies of each available reservable space on campus. A significant additional responsibility of the Associate Director is to lead the implementation and user support efforts for 25LIVE, the next generation of the university supported event management and space scheduling software program for Princeton. Resource25 is a critical business system within the University environment, serving as the sole method of academic scheduling through the Office of the Registrar, as well as serving as the sole university supported scheduling application for several major non-academic units responsible for scheduling space. Additionally, the Associate Director of Scheduling will provide software upgrade and functional support for all existing users, provide training for all new users, develop and maintain close dotted line relationships with OIT to ensure critical technical support, while serving as the primary university liaison with Collegenet. The Associate Director of Scheduling will be expected to provide input in areas related to business operations, and process improvement specifically concerning the event planning process, while serving as a contributing member on a leadership team to assist the Director in matters related to the Frist Campus Center & University Scheduling.
Essential Qualifications: * Bachelor's degree and significant experience with event scheduling and event planning processes
* Functional expertise and extensive application knowledge of, and experience with software solutions from Collegenet specifically including Resource25 and 25LIVE
* Demonstrated outstanding client relations and a high level of customer service skill
* Strong interpersonal skills and ability to prioritize and focus on several tasks at one time, each with a specific deadline
* Excellent organization skills
* Ability to work under pressure while meeting critical and inflexible time demands
* Strong written and verbal communication skills
* Manage diversified responsibilities in a flexible work environment which may include nights and weekends
* Previous work experience in University setting, hotel environment, arena or conference center
Preferred Qualifications: * Experiencing implementing and supporting both the functional and technical aspects of a full Series25 scheduling environment, inclusive of experience with 25LIVE, Resource25, Schedule25 Webviewer and 25Live components
* Experience developing and implementing large scale projects and project plans
* Experience with design and implementation of campus public events calendar
* Successful experience supervising professional and student staff
* Expertise developing customized reports using Crystal Reports
* Familiarity with XML and XSLT and webservices 2.0 structure
* Significant experience serving as primary functional administrator of a Resource25 system training, supporting and serving multiple space managers
* Ability to demonstrate past successes negotiating with multiple constituent groups to achieve a singular goal
