Manage the daily office functions of the General Studies Program and Program for Undeclared Students under the direction of the Director of GSP and Director of Program for Undeclared Students. This individual will coordinate and direct the flow of student services for more than 500 students,six academic advisors, work study students and a coop position. Thorough and firm direction, ensuring an office atmosphere responsive to student needs. Have a strong attention to detail and the ability to learn, and clearly explain to students, the University’s policies and procedures. Must be able to accurately interpret student, parent, staff and faculty requests, effectively analyze the request and provide accurate referrals. Quite importantly, this position requires an ability to handle situations of student crisis and frustration. Responsibilities include serving as the front-line person for the Programs regarding undergraduate inquiries, requests for information and requests for appointments. Additionally, working with students in person and on the phone, maintaining daily front office operations, accurate and confidential record maintenance, coordination of appointments and meetings, advising students when appropriate, making referrals when necessary and liaising between students and university offices as appropriate. Includes diverse administrative tasks and special projects.
Minimum of two years of management/related office experience required, preferably in a university setting. Thorough knowledge of secretarial skills and various office procedures and systems. Extremely strong interpersonal and communication skills are essential. Ability to organize, prioritize, take independent action, work independently, make critical decisions, and handle situations of student crisis and frustration and to work with students, parents, faculty and staff on the phone and in person in a professional manner. Demonstrated record of taking responsibility, dependability, strong work ethic, and the ability to work successfully with undergraduate age students. Good judgment, discretion and problem-solving skills, ability to handle confidential information (student records). Excellent computer skills with flexibility to adapt to new technology and various computer/software applications. Associates degree preferred.
