Position Summary:

The incumbent will provide front line customer service for the Alumni Center including responding to general, daily inquiries about the Center as well as greeting and directing event and meeting attendees; maintaining clean and inviting facilities by checking the lighting, bathroom cleanliness, room temperature and room cleanliness daily as well as calling in any needs to University work order system or work with external vendors to maintain consistent, high-quality facilities and arranging for repair or maintenance of any mechanical items, electrical, furniture, A/V system, etc…; working closely with Chartwells (food service) and Faculty Club staff to ensure the smooth operation of event and meeting space prior to, during, and after Faculty Club hours.


Under the direction of the Director of Signature Events and in conjunction with the Alumni Center Manager, the incumbent will handle space reservation requests, workflow, and confirmations from OAR, University, and external constituencies using event scheduling software as well as work with OAR/TNF Directors and Associate Directors to schedule room needs of OAR/TNF and high-level priority events and meetings before opening the schedule to other clients.


Under the direction of the Director of Signature Events and the Alumni Center Manager, the incumbent will coordinate the event, meeting, conference, and common spaces of the Alumni Center; arrange for room set-up needs; coordinate/staff A/V needs for clients, and address last minute and day-of-event requests from clients as well as work under the direction of the OAR/TNF Directors and Associate Directors to implement all event plans for OAR/TNF events held at the Alumni Center.


The incumbent is also responsible for becoming an expert in and maintaining the audio/visual systems of the Alumni Center including cameras, projectors, computers, screens, televisions, touch-screen, video wall, CD, DVD, and central operating systems as well as training other team members in their use.


The basic schedule for this position is expected to be Monday – Friday from 7:30 am to 3:30 pm or Monday – Friday from 8:30 am to 4:30 pm. In addition, schedule flexibility is required in order to meet the various operation demands and event schedules of the Alumni Center. Evening and weekend work is frequently required. This position requires some lifting of heavy items and/or use of a hand truck for event supplies and equipment. Other duties as assigned.

Qualifications:

Associate’s degree or some college coursework required, Bachelor’s degree preferred; one to three years of customer service experience; Strong interpersonal skills; Excellent coordination, networking, information-gathering, organizational, communications (written and oral),and computer skills (including Microsoft Powerpoint); Extreme attention to detail; High level of self-confidence, creativity, enthusiasm, engagement, self-motivation, and energy to undertake diverse responsibilities; Ability to work independently and be productive with minimal supervision; Proven ability to interact professionally and diplomatically with many constituencies with a strong customer-service focus; Experience in AV media preferred; Experience with EventPro scheduling software a plus; And experience working in higher education a plus.
