This is a multiple support position. S/he will support the Special Assistant/Project Manager, Senior Development Associate, and the Special Advisor to the Senior Vice President. S/he must be able to work both collaboratively as well as autonomously in prioritizing and executing multiple projects, tasks, and priorities. S/he anticipates needs and modifies tasks as necessary. The Administrative Assistant may be exposed to information of a confidential or sensitive nature. The ability to work discretely with confidential information is critical. Candidate must have the ability to communicate effectively and sensitively over the phone and in person. This individual must maintain high standards of professional competence and adhere to a professional code of conduct. The position requires excellent interpersonal skills with a strong work ethic. The individual must be self-motivated and able to manage workload independently with an ability to prioritize and manage ongoing projects concurrently. Successful candidates will be detail-oriented. Challenges include juggling multiple responsibilities in a very busy environment.
Routine tasks include:
- General office duties such as filing, directing telephone calls, and responding to inquiries as appropriate
- Drafting correspondence
- Assist in event coordination, preparation, and follow-up
- Assist with meeting preparation
- Processing travel/expense reports and assisting with travel arrangements
- Interacting with internal and external constituents at all levels
- Assist with special projects as necessary
Bachelor’s degree preferred with at least one to three (1-3) years of professional experience or five (5) or more years of office support experience. Experience supporting multiple individuals while working in a fast paced, multi-tasking environment is desirable. Strong organizational and information management skills. Must possess the ability to prioritize. Must be highly professional and possess the ability to interact with diverse populations. Proficiency in Microsoft Office including Word, Excel, Outlook, PowerPoint required. Experience with or ability to learn database software including Salesforce and Banner Advancement. Must have proven ability to work independently and to communicate well orally and in writing. Excellent interpersonal skills are a must. Ability to maintain sense of humor while managing multiple priorities a benefit. Ability to work with basic research tools to conduct research on donors and prospects. Event coordination skills are a benefit.
