The Academic Assistant works directly with the Assistant Dean and Directors of the D’Amore-McKim School of Business providing administrative and project support to ensure smooth functioning of the Undergraduate Programs Office and contributes to the overall efficiency of the academic area. This position requires leadership, problem-solving and computer skills, ability to make independent decisions and work with numerous constituencies.
The Academic Assistant will support office management, coordinating use and support of office space, inventory, organize and order office supplies and catering, reserving space and equipment. The Academic Assistant must be familiar with several computer software programs to process correspondence, maintain and analyze data; produce surveys, reports and brochures. Must be able to use Microsoft Office Suite and create spreadsheets to manipulate data for various purposes, including survey results, student lists and travel expenses. Prepare and graphically enhance PowerPoint presentations. Assess, prioritize and turnaround work to best accommodate expectations to support the needs of the School of Business.
The Academic Assistant provides support to educational programming initiatives including those associated with Honors Programs. Responsibilities include assisting faculty directors with correspondence and the coordination of meetings, conferences, workshops, mentoring programs and special initiatives. Proactively engage with faculty directors to ensure all logistics are in place for numerous events. Keeps accurate documentation for expenses and receipts.
This individual also assists with a multitude of programs run out of the Undergraduate Business Programs Office.
Other responsibilities include updating and editing: student or program manuals, letters, brochures and student surveys. Must possess ability to compose/edit; invitations, emails, and questionnaires.
The Academic Assistant assists in supporting the front office desk staff, including the Academic Assistant and work-study students. And this will require individual to know and understand College and University policies and procedures and the impact these have on student services. This person will assist and direct student inquiries and must ensure an effectively run and student-centered unit and promote a positive, professional, and pleasant work environment.
A minimum of two years of office experience is required. Associate’s Degree required; Bachelor’s Degree preferred. Previous experience in a higher education is a plus. Thorough knowledge of secretarial skills, computer skills and various office procedures and systems are necessary. Ability to organize prioritizes, take initiative, work independently, and identify critical situations. Extremely strong oral and written communication and interpersonal skills are essential. Position requires demonstrated record of dependability and strong work ethic and work successfully with college age students. Needs excellent word processing and proof reading skills with proficiency in Outlook, Microsoft Office Suite, Requires demonstrated leadership skills with the ability to successfully function in a fast-paced team environment with strong organizational experience. Must possess ability to make some independent decisions, manage multiple projects, and represents the Undergraduate Office in a professional manner. Flexibility to adapt to new technology and various computer/software applications; ability to access and research information via the Internet and respond to School of Business web inquiries.
