Job Summary:

As a member of the accounting staff, assist with all accounting functions including payables, receivables, monthly and year-end accounting procedures, and financial statements preparation. Reconciles various accounts on a monthly basis. Provides a variety of post-award grant accounting duties in a fiscally responsible manner. Required to maintain accurate fiscal records and produce reliable financial reports for the ECC grants programs and the ECC Foundation. Assists with project base budgeting and other projects as needed.

Under general direction, performs technical accounting functions in connection with maintaining general ledgers, journals, statements, and reports. Create and submit monthly financial statements (Income statement and Balance Sheet) to the Board of Trustees, Vice President of Finance, and administration.

Play an integral role in many key phases of annual budget process and at year-end. Prepare documents on a timely basis within the prescribed deadlines/timeframes during audit planning.

Required Knowledge, Skills & Abilities:

  1. Bachelor's degree (BA/BS) in accounting from four-year college or university is required.
  2. Four years general accounting experience, which includes general ledger, knowledge of chart of accounts and financial reporting.
  3. Demonstrated analytical skills.
  4. A working knowledge of financial software and proficient in Microsoft products, including Excel.
  5. Demonstrated ability to work in a team environment and promote concepts of financial accountability with peers, faculty and staff.
  6. Attention to detail, with the ability to follow up on tasks.

Desired Knowledge, Skills & Abilities:

Essential Duties:

  1. Prepare and analyze month-end financial statements for the ECC Foundation.
  2. Manage, build and/or run reports as required, including financial statements for the President’s office.
  3. Prepare and analyze monthly reimbursements and quarterly status reports for disbursement to the appropriate grant agencies.
  4. Prepare the Grant Monitoring report for the ECC Board of Trustees on a quarterly basis and prepare year end grant close out reports.
  5. Assist with the preparation of the annual budget.
  6. Weekly importation of electronic check files.
  7. Perform monthly file uploads from various departments and external vendors.
  8. Analyze and prepare journal entries for Elgin Community College and the ECC Foundation and grants.
  9. Filing of IRS Federal and Illinois State tax forms.
  10. Prepare, create and reconcile audit schedules and generally assist public auditors with annual audit.
  11. Inventory and tracking of fixed assets.
  12. Provide technical assistance to staff with regards to the computer accounting applications (Colleague).
  13. Act as a back-up to the Accounting Specialist II.

Streamwood Center: In 1998, the college and Village of Streamwood remodeled the lower level of Village Hall to include computer and general purpose classrooms. Classes offered there make it easier for those who live in the eastern portions of ECC’s district to attend college.

Satelitte Campuses: ECC holds classes throughout the northwest suburbs at off-campus locations scattered across the district. Whether it is a medical center where ECC nursing students assist in patient care, a fire station where students transform into prospective lifesavers, or a nearby forest preserve where bird watching takes over on Saturday mornings, ECC classes are somewhere nearby.
