Student Advisor  - Schools of Nursing and Healthcare

REPORTS TO

Academic Chair of Schools of Nursing and Healthcare

PURPOSE OF JOB

Provide student-centered customer support and assistance to students, faculty, staff, parents and guardians for the academic departments of Pittsburgh Technical College.

PRIMARY DUTIES

40% Program Schedule Advising

  • Primary resource to students for the development of the following:
  • Program Cohort Layouts
  • Custom schedules
  • Individual classes
  • Program modifications due to the failure of classes
  • Exemption Letter layout modification
  • Work with Reentry Coordinator in the identification of viable candidates for reentry
  • Creation of reentry program layout
  • Coordinate the approval documentation needed for a student to be placed on a Leave of Absence (LOA)
  • Primary contact person for the return and reentry of student upon completion of LOA
  • Coordinate distribution of student’s schedule and booklist at the beginning of each quarter (Gallery)
  • Coordination of Student State funding requirements (School of specific)
  • Coordinate students within PTC 4 year program(s) or integration programs with other colleges or universities
  • Coordination of student withdrawal process
  • Workflow (education)
  • Exit counseling to include Financial Aid and housing if applicable
  • Eligibility for return (EFR)

PRIMARY DUTIES

40% Administrative

 

  • Liaison between Financial Aid, Housing, etc.
  • Identification and counseling of students in the creation of appeal letter for Satisfactory Academic Probation (SAP)
    • Submission of SAP letter to Financial Aid (FA)
  • Work together with Academic Chair/Team Leader in the identification/counseling of students struggling academically (weekly ASAP)
    • Scheduling of and notification of students for weekly tutoring (School of specific)
  • Midterm Notification – Work together with Academic Chair/Team Leader in the identification and notification of students who are to receive midterm D and F letters
  • Verify student eligibility for the approval, documentation and scheduling of PTC Plus classes
  • Work together with Academic Chair/Team Leader in the identification, notification and scheduling of students who are to be placed on Quarterly Academic Probation (QAP)
  • Support FA: Work with financial aid and students (if applicable)
    • MLE – Monthly confirmation and submission of MLE Attendance Rosters for dispersal of funds
    • Weekly State Funding Timesheet submission
  • Financial Aid 360 Code – work with Academic Chair and finance to ensure student plan and progress
  • Contact Housing – Work together with Student Housing in the communication of students with academic issues
  • Tracking faculty and students health information to meet State Board and clinical agreements (School of specific)
  • Process change of status workflows – submit changes to a student status within their program(s). (Address, telephone, etc.…)
  • Student workers – Work with Financial Aid to determine student financial eligibility, schedule and hours of work submitted
  • Direct Connect – coordinate activities and events with student volunteers and student workers within the program, and other leads (School of specific)
  • FAFSA – Distribute information from Financial Aid and inquire as to the completion of FASFA renewals

15% Student Advising

  • Student issues – working with concerned students on behavior, professionalism, communication or other problems which then impact student academic requirements
  • Personal issues - working with troubled students on personal needs which impact their academic status
  • Academic issues – work with students, in conjunction with Director/Academic chair, on degree choice, classes, assignment(s), attendance which then impacts the student academic progress
  • Life issues – working with students who have experienced personal life events or tragedies which then impact the students/ well-being and academic progress

5% Extracurricular Activities

  • Orientation: Introduction of Student Advisor’s primary role  to new students, parents and involvement throughout educational process
  • Graduation: Coordinate student involvement in ceremony
  • Pinning Ceremony: Coordinate student involvement in ceremony
  • Outstanding Student: Work with team members in the Identification and coordination of students’ involvement in ceremony

EDUCATION REQUIREMENTS

Associate degree

 

EXPERIENCE REQUIRED

  • Two years’ related office experience, preferably in a postsecondary educational setting
  • Teaching or educational advising experience preferred
  • Competency in basic MS Office Suite of software
  • Business writing skills
  • Verbal communication skills using proper grammar and sentence structure

WORK SCHEDULE

Full-time – 40 hours per week
Monday through Friday eight and a half hour days during the period of
7:00 a.m. –  5:00 p.m. four days per week and one day 11:00 a.m. – 7:30 p.m.

Schedule includes a half hour unpaid lunch period.  The late day will be assigned
by the Academic Chair based on scheduling needs.

SALARY LEVEL

Level 11

SALARY RANGE

  • Position salary range $48,300 -$62,160 per year
  • Payday is last working day of the month
