POSITION: ADMINISTRATIVE SUPPORT COORDINATOR I		
JOB #18/60
Full-time, temporary position available on or after February 11, 2019 and ending on or before February 10, 2020 in Housing and Residential Life. Possibility of reappointment based on budget, department needs, and job performance.

ESSENTIAL DUTIES: Under the general supervision of the Director, Housing & Residential Life, and the daily direction of the Housing Business Operations Lead, this position provides coordination and/or support for the following areas: student financial inquires, summer conference program logistics, department record keeping, clerical and administrative support and purchasing and procurement. Duties include but are not limited to:
• Coordinate department purchasing, including requisitions, direct pay requests, transfers and the processing of invoices. Prepare and file monthly department credit card reports.
• Consult with colleagues for items outside established budget. Research and recommend vendors based on cost scenarios.
• Contact vendors for annual contracts. Review contracts making recommendations as needed.
• Serve as first level contact/responder for contract vendors. File paperwork relating to bid requests for facilities or other large scale housing projects, working with colleagues as needed.
• Serve as department cashier. Provide support for basic payment questions. Respond to student account inquiries, providing information and resources.
• Disseminate information about Housing payment schedules, installment plans, meal plans and other financial matters. Prepare and distribute monthly email notifications.
• Schedule appointments with the Student Accounts Specialist as appropriate.
• Coordinate meal plan allocations on student ID cards. Invalidate lost or missing student ID cards. Look-up meal plan allocations and balances and assist students with questions.
• Complete bi-weekly reconciliation to validate enrollment status for residents. Coordinate and assist with resident meal plan changes (e.g. increases and decreases).
• Process requests for off-campus rental references, as well as inquiries pertaining to the status of former residents.
• Coordinate the Deposit Deferral Process ensuring all forms are properly completed, filed and processed in StarRez database.
• Create annual financial forms related to the housing license agreement, including international student documents.
• Respond to summer conference group inquiries in relation to availability and services. Provide referrals to appropriate campus departments.
• Work with conference groups to ensure all university-required documents are on file prior to arrival. Maintain records of executed contracts.
• Facilitate communication between business operations, facilities and residential life to ensure readiness for conference groups.
• Communicate with camps regarding pre-arrival and on-site logistics. Verify supply inventory for camp-related items: lanyards, key pouches, key cards, etc.
• Oversee coding of key cards as well as pre- and post-room inspections are complete. Distribute final invoice to conference groups, tracking receipt of payment.
• Act as liaison for facilities projects to assist with scheduling, vendor communication and internal campus communication and scheduling.
• Serve as department record keeper and property control agent. Provide oversight of department paper and electronic business operations record-keeping.
• In the event of an afterhours or weekend emergency be available to return to campus as needed.
• Participate in regular emergency response planning, including tabletop exercises. Implement department emergency response protocols when activated.
• Cross-train across functional areas within the unit to ensure business continuity in a crisis.
• Serve as a liaison with campus and community entities to ensure the residential community remains operational. Assist with logistics to house and feed residents, including relocation, supply logistics, campus and community agencies coordination, communication via email, phone, internet and website, and overall safety and security measures.
• Work as part of the housing team to create a support network for residents through ongoing observation, interaction and communication with members of the residential community.
• As appropriate, act as liaison with students and family on various items relating to resident health and well-being.
• Coordinate special projects for the Director and Associate Director and perform other duties as assigned.

MINIMUM QUALIFICATIONS:
• Completion of a high school program, technical/vocational program, or their equivalents.
• Several years of related office work experience.

PREFERRED QUALIFICATIONS:
• Experience working in a collegiate student housing program, highly preferred. Strong organization skills.
• Demonstrated discretionary decision-making experience. Strong critical thinking and analytical skills. Ability to carry out a variety of complex assignments without detailed instructions.
• Capacity to work within an office environment with a servant-oriented customer service philosophy.
• Ability to work effectively as a member of a team, as well as the capacity to independently complete work.
• Ability and interest in working with a diverse population and sensitivity to the needs of all involved parties.
• Strong verbal, non-verbal and written communication skills; Ability to engage students in an outgoing, talkative, and energetic manner.
• Ability to perform under pressure, relate positively to people, and to motivate others to function as a fully participative member of a team.
• Ability to interpret and evaluate descriptions and explanations of problems brought forward by students, student family members, and vendors or community members.
• Ability to maintain a high level of confidentiality, as well as a thorough knowledge of department and campus policies, procedures and practices.
• Understanding of FERPA student records privacy regulations, as well as other federal regulations applicable to campus housing departments.
• Competence in the use of Microsoft Office Suite and Adobe Acrobat.

SPECIALIZED KNOWLEDGE, SKILLS, AND ABILITIES:
• Experience to be fully functional in all technical aspects of work assignments.
• Ability to understand and operate in a variety of organizational structures. Thorough, detailed knowledge of applicable university infrastructure, policies, and procedures.
• Thorough knowledge of English grammar, punctuation, and spelling. Ability to draft and compose correspondence and standard reports.
• Ability to use and quickly learn new office support technology systems and software packages.
• Thorough knowledge of office systems and ability to use a broader range of technology, systems, and packages.
• Ability to independently prioritize and complete multiple work unit priorities and projects. Ability to independently apply discretionary decision-making to a wide variety of policies and procedures where specific guidelines may not exist.
• Working knowledge of budget policies and procedures.
• Ability to perform standard business math, such as calculate ratios and percentages, track financial data, and make simple projections.
• Ability to effectively handle a broad range of interpersonal contacts, including those with colleagues, at a higher administrative level and those sensitive in nature.

SALARY RANGE: $2,846 - $4,998 per month plus excellent paid benefits. (Anticipated salary will be $2,846 - $3,131 per month, depending on the qualifications of the successful finalist.) The California State University offers a premium benefit package that includes, but is not limited to, outstanding vacation, health, dental, and vision plans; a fee waiver education program; membership in the California Public Employees Retirement System (PERS); and 14 paid holidays a year.

History

The California State Legislature established Stanislaus State College in 1957 as the 15th campus of the California State University (CSU) system. The first classes were conducted in September 1960 in buildings at the Stanislaus County Fairgrounds in Turlock, located in the state’s fertile Central Valley. The college moved 1.5 miles north in 1965 to its permanent 228-acre site following construction of its first major facilities. The picturesque current site of the University is graced by 35 modern buildings, and with more than 4,500 trees, representing 50 species, it is the region’s largest designated urban forest.

The initial classroom building housed facilities for art, music, drama and the sciences in addition to providing classrooms for lectures. The library, a companion project to the classroom building, was later named the Vasché Library in memory of the university's founding president, Dr. J. Burton Vasché. In 1985, the college was officially renamed California State University, Stanislaus by action of the State Legislature and the Board of Trustees of the California State University. A renovation of the Vasché Library is in the design stages. In addition, a student funded $52 million student center renovation project is underway, with the new facility scheduled to open in spring, 2020.

Our 10,003 students (8,521 FTEs) are served by 1,896 employees, including 645 faculty (252 tenure or tenure track), providing a student-to-faculty ratio of 22:1 and a tenure density of 60.4%. More than 80% of full-time faculty members hold doctorates or terminal degrees in their fields. The University’s primary service area is a 10,000-square-mile region that encompasses Stanislaus, San Joaquin, Merced, Mariposa, Tuolumne, and Calaveras Counties. Widely recognized for its quality academic programs, Stanislaus State is regionally accredited by the Western Association of Schools and Colleges and has earned 12 specialized accreditations, including the College of Business Administration, College of Education, Kinesiology and Social Work, and nursing, art, theater and music programs

Serving the San Joaquin Valley, the University is a critical educational resource for the six-county region of approximately 1.5 million people. The University offers a rich mix of 43 undergraduate majors and 23 graduate programs (15 master’s programs, seven post-graduate credentials and a doctorate in educational leadership).

Stanislaus State also operates an off-campus center at University Park in Stockton, 43 miles northwest of the main campus, with a current enrollment of almost 650 students.

In 2009, the Board of Trustees approved the new Campus Master Plan Revision and certified the Final Environmental Impact Report, which had not been reevaluated since 1968.  The new master plan envisions the future growth of the campus to serve 12,000 FTE students, while maintaining the quality and character of the campus environment.

Home of the Warriors, Stanislaus State fields 14 men’s and women’s athletic teams that compete at the NCAA Division II level. The Warriors have claimed 12 national championships in men’s golf and two in baseball, in addition to the 24 individual national titles won by Warrior athletes.

Over the years, Stanislaus State has developed into a major presence in the region and continues to play a prominent role in the economy of the Central Valley.

Stanislaus State has received many recent accolades, recognizing the University for its quality, affordability and access. For example, the U.S. Department of Education placed Stanislaus State on its 2016 list of institutions notable for advancing student outcomes, National Public Radio (2016) ranked Stanislaus State #5 in the nation for upward mobility of its students, Washington Monthly (2018) ranked Stanislaus State the #1 “Bang for Your Buck” four-year college in the West Region and Money Magazine (2018) ranked Stanislaus State in its national “Best Colleges for the Money” category for the 23rd consecutive year, moving the University into its top 50. In addition, the University has been selected as one of the country’s top 384 colleges by The Princeton Review for 13 consecutive years and U.S. News & World Reports ranked Stan State among the top 10 public universities in the Western region in 2018, in addition to being ranked #48 overall. Many national rankings have recognized Stanislaus State’s excellence for many years, including several publications that have ranked Stan State consistently high for more than a decade.
