Department

FSU Center seeking a qualified candidate for the position of Administrative Assistant.

Responsibilities

Operations Support:
Monitors, maintains, and orders office supplies.
Manages Interdepartmental Requests (IDRs) and work orders for IT and business services.
Assists accounting specialist with daily operations of department.
Processes waivers and other pre-approvals for software purchase and other purchase card purchases requiring special approval.
Assists the accounting specialist with the university year-end close-out processes to ensure the department meets all necessary deadlines.
Acts as back-up for office assistant when not available – answering phones, attending to clients, mail-outs etc.
Other administrative/operational type duties assigned by CIMES’ director and associate director.
Periodic inspection of offices to alert the Facilities departments of structural issues and routine maintenance operations.
Human Resources support:
Updates and files personnel information.
Assists in recruitment support
Periodically audits employees leave balances
Assists in employee separation processes
Property Management/Inventory Logistics:
Assists in property acquisition, surplus, and inventory.

Qualifications

Bachelor's degree and two years of experience. Attention to detail and the ability to maintain confidentiality. Excellent communications skills. Experience with Microsoft Word, Excel and knowledge with Outlook.

Preferred

Experience using FSU OMNI system / PeopleSoft to perform responsibilities listed above.

Anticipated Salary Range

$12 - $15 based on experience.

Soft Money Funded Position

This position is time-limited based on soft money funding, with renewal contingent upon available funds and the needs of the University.

Criminal Background Check

This position requires successful completion of a criminal history background check. The background check will be conducted as authorized and in accordance with University Policy 4-OP-C-7-B11.
