The Office of the Senior Vice Chancellor and CFO is now accepting applications for an Administrative Assistant (AAI). The Administrative Assistant will be tasked with performing day-to-day administrative tasks such as scheduling, compiling meeting materials and arranging travel.

What your key responsibilities will be:
Schedule Management
  • Maintain executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel
  • Schedule and confirm appointments
  • Manage and maintain scheduling and event calendars
  • Use calendar and scheduling software to manage one's own time and the time of others
  • Schedule and coordinate events, programs, and activities
  • Arrange conference calls and schedule meetings
  • Ensure there are no scheduling conflicts and making sure executives know where they need to be when
Office Support

  • Answer phone calls, respond to email requests, and greet visitors
  • Keep executive, as well as visitors informed on purpose of meetings and assist in keeping the office on task throughout the day
  • File and retrieve documents, compile daily meeting materials, open, sort, and distribute incoming correspondence
  • Help with travel planning, reservations and itineraries

What we require: One year of full-time equivalent general clerical experience

Must be a current resident of Colorado to apply
What you will need:
  • Strong customer service skills
  • Attention to detail
  • Able to manage multiple priorities
  • Excellent oral and written communication skills
  • Experience using MS Office
What we'd like you to have:
  • 1 year of experience working in an office
  • Experience managing and maintaining schedules and event calendars
  • Prior customer service experience
  • Coordinating travel arrangements
