Job Description: Clerk IV-Conference and Events Services
(Full-time, 12-month AFSCME position)
Tour of Duty: Monday-Friday, 9:00 A.M.-5:00 P.M.
(Subject to Change)
(Sat. and Sun. as days off)
General Statement of Duties: Act as frontline staff member which greets and directs guests to the office, building or campus. Responsible for answering main phones and directing calls appropriately as well as providing general clerical support for the Conference and Events Services Office.
Supervision Received: Supervised by the Office Manager/Administrative Assistant II who will provide instruction on procedures, assign tasks and review performance for accuracy, completeness and compliance with standard procedures.
Supervision Exercised: Direct supervision over assigned work to and review the performance of 6-15 clerical personnel and may exercise indirect supervision through an intermediate level supervisor over 6-15 personnel. Personnel include student employees.
Common Duties:
1. Files materials such as correspondence, reports, applications, in accordance with a prescribed system.
2. Answers telephone calls and provides routine information concerning agency services according to established procedures.
3. Prepares standard forms.
4. Receives and distributes incoming mail and packages to appropriate individuals within assigned unit.
5. Retrieves records from files such as correspondence, applications, etc.
6. Locates and withdraws information from records by using electronic data display terminals, searching files, etc. in order to respond to inquiries or requests by supervisor.
7. Posts information to logs or records according to prescribed procedures.
8. Operates standard office machines and equipment including personal computer with standard software, typewriter, college phone system, fax machine, Nextel radios, etc.
9. Review forms, lists, documents, correspondence, and/or applications for accuracy and completeness.
10. Explain provisions and contents of various documents or programs including effective rates, options, eligibility, benefits, etc. to employees or others. State Job Specifications are available in the Human Resources Office or on the Human Resources website -www.bridgew.edu/hr.

This is an AFSCME unit position and is subject to the terms of that union agreement. Required Qualifications: 1. Applicants must have at least three years of full-time or equivalent part-time experience in office work or any equivalent combination of the required experience and substitutions as identified on the Clerk IV state classification job specifications
2. Knowledge of English language including spelling, word meaning and word usage and ability to read, write and comprehend English, using proper gammar and punctuation.
3. Ability to understand and apply the laws, rules, policies and procedures governing the department.
4. Ability to communicate effectively in oral expression, follow written and oral instructions, and give written and oral instructions in a precise, understandable manner.
5. Attention to detail with the ability to work accurately with names, numbers, codes and/or symbols, as well as perform some arithmetical computations.
6. Knowledge of clerical office practices and procedures including office record keeping, office correspondence control, the types and uses of office equipment and supplies, business letter preparation and the ability to file material in accordance with standard filing procedures.
7. Ability to maintain accurate records.
8. Ability to establish and maintain harmonious working relationships and deal tactfully with others.
9. Ability to supervise, including planning and assigning work according to the nature of the job to be accomplished, the capabilities of subordinates and available resources; controlling work through periodic reviews and/or evaluations; determining subordinates' training needs and providing or arranging for such training, motivating subordinates to work effectively, determining the need for disciplinary action and either recommending or initiating disciplinary action.
10. Ability to exercise sound judgment.
11. Ability to assemble items of information in accordance with established procedures and determine proper format and procedures for assembling items of information.
